Who we are

This website is operated by Woodlands Glencoe.  Woodlands Glencoe is a trading name of Ossian Developments Ltd. (Company Number SC319510 / VAT Number 948663766).  Our address is Woodlands Glencoe, Ballachulish, Argyll, Scotland PH49 4AA.  We can be easily contacted via email technology@woodlands.scot (preferable) or by telephone 01855 413 006.

Our Terms & Conditions

  1. Payment for Non-Refundable bookings – is taken in full at the time of booking unless otherwise agreed in writing.
  2. Payment for Free Cancellation bookings – 10% is taken at the time of booking and the remaining 90% is due 14 days before arrival, unless otherwise agreed in writing.
  3. Refunds – all orders are strictly non refundable unless otherwise agreed in writing.
  4. Our right to cancellation – We reserve the right to cancel any booking made within 48 hours of booking. 
  5. Price match guarantee – price matches must be done at the time of booking and will not be accepted after the booking has been confirmed.  A valid, genuine screenshot must be provided. This will be verified to ensure there are no errors before the price match is accepted.
  6. Lost property and postage – Woodlands Glencoe does not take any responsibility for items left in the lodge or around the Estate. If something is found in your lodge after check out, you will be contacted and postage will be offered at a supplementary cost. All postage is sent Second Class and untracked unless previously agreed in writing and paid for. 
  7. Parking – all cars are left in the car parks on the estate entirely at the owners risk. Woodlands Glencoe takes no responsibility for any damage, accident or loss.

Golf memberships

All memberships are sold at the discretion of Woodlands Glencoe and unless otherwise stated will be processed automatically by Direct Debit on the membership renewal date.  Memberships are strictly non transferrable or refundable.   

Your membership status is at the discretion of Woodlands Glencoe and we have the right to cancel it at any time, with immediate effect for any reason we see fit (late payment, poor behaviour etc.). 

If you would like to cancel your membership please let us know via email (memberships@woodlands.scot) with at least 10 days notice of your renewal date.  

Members must identify themselves by signing in prior to playing, and bag tags must be displayed prominently on golf bags at all times while on the course.  Members agree to abide by all policies and rules established by management.  Please keep dogs on a lead at all times.  No outside food or beverage is allowed in the Clubhouse.  Please be polite and courteous to other customers. 

Members will be held responsible for any and all damages incurred to property of Woodlands Glencoe or our customers.  You must carry your own personal golf insurance and Woodlands Glencoe will not be held responsible for loss or damage of any article of personal property while on our premises.  

Woodlands Glencoe do not guarantee access to the Clubhouse, car park, toilets, practice area or golf course and management reserves the right to close the course for any reason (weather, events, pandemics etc.).

Our “Spread the cost membership” is valued at £479.40 per year (12 payments of £39.95) and your commitment upon sign-up is to pay this in full within 12 months of the sign-up date.  Woodlands Glencoe have the right to collect any unpaid membership fees as well as the right to issue a permanent lifetime ban if fees remain unpaid after this 12 month period.

Dragon’s Circle

Our Dragon’s Circle memberships help support a wide variety of activity on the Woodlands Glencoe Estate.  Your membership contributes to a wide range of initiatives rather than a specific task and many of these initiatives are controlled by outside influences (weather, nature, animals etc.) so we will not be held liable for their success of failure.  For example, if a tree dies because of damage caused by deer, we will not be held responsible.

The type of personal information we collect

We currently collect and process the following information:

  1. Personal identifiers, contacts and characteristics – for example, name and contact details.
  2. Order information including payment information.
  3. Photographs, video and other media submitted to us by users.
  4. User specific information such as comments and product reviews.

 

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  1. When signing up for email updates and offers.
  2. When making a purchase.
  3. When interacting with our team – on the phone, via email and on social media.

We also receive personal information indirectly, from the following sources in the following scenarios:

  1. From 3rd party analytics services – like Google Analytics.
  2. From 3rd party advertising tools – like Facebook Advertising & Google Advertising

We use the information that you have given us in order to fulfil orders, accurately target advertising and to improve our products and services (including our websites).

We may share this information with 3rd party contractors including advertising agencies.

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

  1. Your consent.  You are able to remove your consent at any time. You can do this by contacting technology@woodlands.scot.
  2. We have a contractual obligation.
  3. We have a legal obligation.
  4. We have a vital interest.
  5. We need it to perform a public task.
  6. We have a legitimate interest.

 

How we store your personal information

Your right to privacy is important to us, and any personal information will be stored in accordance with industry best practice.  We utilise cloud based 3rd party tools such as Dropbox, Mailchimp, Typeform, WordPress, HOP Software & Bookinghound to help us with this.

Most digital records are kept permanently in this way.  If data is deleted, it is also deleted from these tools.

 

Your data protection rights

Under data protection law, you have rights including:

  1. Your right of access – You have the right to ask us for copies of your personal information.
  2. Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
  3. Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.
  4. Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.
  5. Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.
  6. Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
